Order confirmation cost calculator

Confirming orders costs money. So does shipping orders that get refused at the door. Put in your numbers to see whether calls or WhatsApp pay for themselves, and by how much.

Runs in your browser. Nothing you type is stored or sent.

The store fields come from the sample store in the profit calculator. The rates are yours to fill in: no average fits every store.

The method you use now

Rates brought from another tool go into this method, and links to the other tools carry its rates.

Fill in the methods you know. One method alone shows its cost and break-even. To compare, this group needs its delivery rate.

How the calculator works

  1. For each method, shipments are orders placed minus the ones cancelled before shipping.
  2. Delivered orders are shipments × the delivery rate. The rest are refused.
  3. Calls cost agents × monthly cost per agent, plus cost per order called × orders placed. WhatsApp costs Meta cost per order × orders placed, plus the tool subscription.
  4. Profit before fixed costs = delivered × (average order value − product cost) − the courier fee on every shipment − the return fee on refused ones − ad cost − the method's cost.
  5. The net effect is a method's profit minus the profit without confirmation. It counts the refusals avoided, and also any good orders that confirmation cancels.
  6. Break-even = the method's monthly cost ÷ (courier fee + return fee): the refusals it must prevent each month to pay for itself.

Where to find each number

Orders placed, average order value, product cost
The month's orders export from your store (Shopify, WooCommerce, EasyOrders).
Courier fee and return fee
Your courier's price list or monthly statement.
Cancelled and delivered rates
From a month when you used that method: cancelled ÷ orders placed, and delivered ÷ shipped. For a method you haven't tried, enter what you expect, then correct it after a test month.
Cost per agent
Payroll for the confirmation team, plus phone lines or credit.
Meta cost per order
Your Meta bill for the month's WhatsApp messages ÷ the orders you messaged.

Worked example

Made-up round numbers to show the sums, not prices or benchmarks. A store places 1,000 orders a month at 400 EGP, with 150 EGP product cost and a 50 EGP courier fee. Without confirmation it ships them all and 70% are delivered: 700 delivered, 300 refused. A calling team that costs 10,000 EGP a month cancels 20% before shipping, and 85% of the 800 shipments are delivered: 680 delivered, 120 refused. The calls avoid 180 refusals and save 10,000 EGP in courier fees, but they need to prevent 200 to pay for themselves. They also cancel 20 orders that would have been delivered. Net effect: ‎−5,000 EGP a month against not confirming. Load these numbers into the calculator

Common questions

Is the calculator free? Do I need to sign up?

It's free, with no sign-up and no email. Open the page and type your numbers. The result updates as you type.

Are my numbers saved or sent anywhere?

No. The maths runs in your browser, so nothing you type is stored or sent. The PDF report is made on your device too.

Which is cheaper, calls or WhatsApp?

That depends on what each one costs you and how many refusals each one prevents. Fill in both, and the net effect row shows which leaves you more money a month.

How can confirming lose money?

In two ways: it costs more than the courier fees it saves, or it cancels orders that would have been delivered. The calculator counts both.

What does break-even mean here?

The number of refused shipments a method must prevent each month to cover its own cost. Each refusal prevented saves one courier fee and one return fee.

I use only one method. Can I still use it?

Yes. Fill in that method alone to see its cost per confirmed order and its break-even. Add the delivery rate without confirmation, even an estimate, to see the net effect.

Where do I find my WhatsApp cost?

On your own Meta bill. Meta's prices vary by country and message type, so the calculator doesn't assume one.

Does it work for stores in Saudi Arabia, the UAE and the rest of the Gulf?

Yes. The fields say EGP, but the maths doesn't depend on the currency. Enter every amount in one currency, SAR or AED for example, and read the results in that currency.
